Parking Services — Rasa Sayang House

By completing a parking booking, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions. If you do not agree, do not proceed with the booking. 

1. Definitions 

"We", "us", "our" refers to CiCo Solutions Limited (Company No. 15082558), trading as CheckInCheckOut, the provider and principal supplier of the parking service. 

"You", "your" refers to the person making the parking booking. 

"Property" refers to Rasa Sayang House, Denmark Street, Iffley Road, Oxford, OX4 1QS. 

"Booking" refers to the reservation of a parking space made through our website or booking platform. 

"PIN" refers to the unique gate access code issued to you upon successful booking. 

2. The Service 

2.1 CiCo Solutions Limited is the principal supplier of parking services at the Property. CiCo Solutions Limited sells parking directly to guests, issues all receipts and invoices, and is responsible for accounting for VAT to HMRC. 

2.2 The car park is a private, gated facility with CCTV surveillance, operated under an agreement between CiCo Solutions Limited and the property owner. 

2.3 The car park has a maximum capacity of 13 standard parking spaces. Availability is subject to booking and cannot be guaranteed without a confirmed reservation. 

2.4 Each booking is for one standard passenger vehicle only. 

3. Booking and Payment 

3.1 All bookings must be made in advance through our website or booking platform. 

3.2 Payment is required in full at the time of booking via Stripe (credit or debit card). 

3.3 Standard Rate and VAT are calculated at a base of £10.00 per night excluding VAT. With 20% VAT, the total charge is £12.00 per night. This standard rate is non-refundable and all prices displayed on the booking page include VAT unless otherwise stated.

3.4 Optional Refund Protection is available following your initial booking for an additional £1.20. If purchased, your £12.00 parking fee becomes eligible for a refund, subject to our cancellation policy. The £1.20 protection fee itself remains non-refundable.

3.5 Upon successful payment, you will receive a booking confirmation and a unique gate access PIN via SMS and email. 

3.6 The vehicle registration number provided at booking must match the vehicle parked on site. 

3.7 By completing payment, you confirm that you have read and agreed to these Terms and Conditions. 

4. Parking Times and Access 

4.1 The standard parking period runs from 12:00 PM on the arrival date to 12:00 PM on the departure date. 

4.2 Your gate access PIN activates at 12:00 PM on your arrival date and expires at 12:00 PM on your departure date. 

4.3 You may access the car park 24 hours a day during your active booking period. 

4.4 Early Arrival and Late Departure requests are managed by booking the preceding or following night respectively. Because we operate on a fixed 12:00 PM to 12:00 PM schedule, reserving an additional night is the only way to guarantee your space is secured and ready for your specific timing.

4.5 Vehicles found on site outside of a valid booking period may incur additional charges at the standard daily rate plus a £20.00 administration fee. 

5. PIN Code and Security 

5.1 Your gate access PIN is personal to your booking. You must not share it with any other person. 

5.2 Unauthorised sharing or misuse of your PIN may result in the PIN being deactivated without refund. 

5.3 If your PIN does not work, contact us immediately at [email protected] or call +44 7426 970355. 

5.4 We reserve the right to deactivate PINs and deny access at any time if these Terms and Conditions are breached. 

6. Vehicle Requirements 

6.1 The car park is for standard passenger vehicles only. 

6.2 Caravans, trailers, motorhomes, commercial vehicles, and oversized vehicles are not permitted without prior written approval. 

6.3 Vehicles must be roadworthy, taxed, insured, and hold a valid MOT where applicable under UK law. 

6.4 Vehicles must not leak oil, fuel, or other fluids onto the car park surface. 

6.5 No maintenance, washing, or repair of vehicles is permitted on site. 

6.6 Hazardous materials, fuel containers, or gas cylinders must not be stored in parked vehicles. 

7. Cancellation and Refunds 

7.1 Regular Rate bookings are strictly non-refundable once payment has been processed. 

7.2 Refundable Booking Protection is an optional secondary purchase of £1.20 available after your initial booking. If this protection is purchased, your £12.00 parking fee becomes eligible for a refund.

7.3 Refunds under the Refund Protection are processed within 7 working days of your departure date via the original payment method. 

7.4 Non-Refundable Fees include the £1.20 booking protection fee, which is a service charge and remains non-refundable regardless of the cancellation.

7.5 We reserve the right to withhold a refund if the vehicle has caused damage, or if these Terms and Conditions have been breached. 

7.6 No refunds are issued for early departure or unused nights. 

8. Liability and Risk 

8.1 Parking is entirely at the vehicle owner’s own risk. 

8.2 CiCo Solutions Limited accepts no liability for theft, damage, loss, or deterioration to vehicles or their contents while parked on the premises, howsoever caused. 

8.3 While CCTV is in operation for security purposes, this does not constitute a guarantee of security or an acceptance of liability. 

8.4 CiCo Solutions Limited is not responsible for damage caused by other vehicles, third parties, weather events, acts of God, or force majeure. 

8.5 You are responsible for ensuring your vehicle insurance provides adequate cover while parked at the Property. 

8.6 Our total liability to you for any claim arising from the parking service shall not exceed the total amount you paid for your booking. 

9. Conduct and Rules 

9.1 The speed limit within the car park is 5 mph. Drive with care and be considerate of pedestrians and other guests. 

9.2 Vehicles must be parked within marked bays where applicable. 

9.3 The operator reserves the right to remove, clamp, or tow any vehicle that is parked without a valid booking, is causing an obstruction, or is in breach of these terms. All costs incurred will be charged to the vehicle owner. 

9.4 You are responsible for any damage caused by your vehicle to the property, equipment, gates, or other vehicles. 

9.5 Antisocial behaviour, excessive noise, or any activity that disturbs other guests or residents is not permitted. 

10. CCTV 

10.1 CCTV cameras are in operation throughout the car park and at the gate entrance for security and safety purposes. 

10.2 Footage is stored securely and only accessed where necessary for security, safety, or dispute resolution purposes, in accordance with UK data protection regulations (UK GDPR and the Data Protection Act 2018). 

10.3 By using the car park, you acknowledge and consent to CCTV monitoring in these areas.

11. VAT and Invoicing 

11.1 CiCo Solutions Limited is VAT registered (VAT Registration Number: 384184475). 

11.2 All prices include 20% VAT at the UK standard rate unless otherwise stated. 

11.3 CiCo Solutions Limited is the supplier of the parking service and issues all invoices and receipts. 

11.4 A VAT receipt will be issued upon request by emailing [email protected]. 

12. Data Protection 

12.1 We collect personal data (name, email, phone number, vehicle registration) to process your booking, provide the parking service, and communicate with you about your booking. 

12.2 Your data is processed in accordance with our Privacy Policy and the UK GDPR. 

12.3 We will not share your personal data with third parties except where necessary to provide the service (e.g., payment processing via Stripe) or where required by law. 

12.4 For data access, correction, or deletion requests, contact [email protected].

13. General 

13.1 These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. 

13.2 Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales. 

13.3 CiCo Solutions Limited reserves the right to amend these Terms and Conditions at any time. Changes will be published on our website and apply to bookings made after the date of publication. 

13.4 If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. 

13.5 Our failure to enforce any right or provision shall not constitute a waiver of that right or provision. 

13.6 These Terms and Conditions constitute the entire agreement between you and CiCo Solutions Limited in relation to the parking service.
